Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of Medicine, Infectious Diseases. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: Manage pre award activities, perform post award activities, and provide research administration oversight including personnel, payroll, budgeting, and operations management for large and complex divisions/units. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Oversees the department’s research administration. Identifies areas needing improvement and suggests solutions providing procedures for senior leadership to approve/implement. 2. Prepares, monitors, analyzes, manages, and reports research division budgets. 3. Supervises and trains others in the submission of grant and contract proposals. 4. May oversee the submission and post award activities of clinical trial studies. 5. Supervises payroll function, identifies and assigns payroll to appropriate sources, designs and implements tracking system to monitor activity. 6. Supervises the purchasing function, ensuring maximum utilization of funds. 7. Prepares and manages annual salary planning process. 8. Responsible for communicating and administering all policies and procedures to faculty and staff. 9. Monitors compliance of faculty and staff with internal and external policies and procedures in the appropriate conduct of research. 10. Maintains personnel records; directly oversees scheduling of employees, evaluation process and personnel problems (i.e. counseling measures and discharge of personnel). 11. Reviews and screens job applications and applicants; conduct interviews, hire and/or make recommendations for hiring new personnel. 12. Periodically reviews all non-academic appointments to ensure that appropriate job descriptions, titles and salaries are continuously maintained. 13. Recommends and participates in development and implementation of decisions, policies & procedures; identify and implement best practices and innovations. 14. Implements and maintains procedures to ensure efficient work flow; responsible for the proper training of staff. 15. Maintains professional public relations and efficiently handle complaints. 16. Serves as liaison in matters relating to research activities between the department, school of medicine, university, outside agencies and collaborative institutions. 17. Completes special projects as directed by senior leadership. 18. Organizes and attends meetings and conferences and participate in various departmental and university committees. 19. Maintains confidential files. Required Qualifications Equivalent of bachelor’s degree with seven years of experience in accounting or related field plus a minimum of three years of experience in grants administration or eleven years of combined education and related experience. Preferred Qualifications * Master’s degree. * Supervisory experience. * Ability to take action in solving problems while exhibiting independent judgment in decision making processes and a realistic understanding of issues. * Ability to organize or schedule people or tasks, to develop realistic plans while being sensitive to the needs of different constituencies, time constraints and resource availability. * Ability to communicate verbally and in writing clearly and effectively, presenting ideas, documenting activities, reading and interpreting written information such as federal, state and internal guidelines and requirements. * Demonstrated influence and persuasive skills. * Working knowledge of computers, spreadsheets, word processing, organizational, verbal, written and interpersonal skills. * Demonstrated analytic skills. * Knowledge of AIS, HRMS, RAPS, FOCUS, Adobe Acrobat, Microsoft Office, PC, PDS, SUBS, agency guidelines, etc. Salary Range The hiring range for this position is $71,323 - $92,789 annually.
